Booking Information

If you would like to arrange a visit, please contact the Box Moor Trust Education and Community team first to discuss your requirements and to check for available dates.  Please try to arrange your booking as early as possible as we do get booked up, particularly in the summer months.

We will post or email a booking form or, alternatively, you can download the form below.  If you are visiting on more than one occasion, please fill in one form for each separate visit – do ensure that you have reserved your visit date with the office before you return the booking form.

Please provide us with as much information as possible and, in particular, the number of children and adults that will be present, any relevant equality, diversity or inclusion issues and medical condition information.  Please note that our facilities at the Old Barn are not able to cope with groups of more than 37.

Completion and return of this form is essential to confirm your booking.  We will then provide general information on your visit (including directions and a map) and a Leader’s Pack giving an outline timetable.  General information on your visit is also available via this website.  If you require our pre-visit information sheet for SEN children, please contact us.

Charging

Charges for education visits are based on where your group is located. As a charity, the Box Moor Trust has to focus its activities principally on its Area of Benefit (AOB): Hemel Hempstead and Bovingdon.

Charges per child for each session (day or part day) are as follows:

Uniform and Youth Groups in AOB:                                  £1.50 Inc. VAT

Uniform and Youth Groups outside AOB:                        £6.00 Inc. VAT

There will be a minimum charge of £25 for all visiting groups. There is no charge for accompanying adults.

Invoices will be issued and should be paid in advance of the visit.

In the event of cancellation or change of date, the following will apply:

  • A full refund will be made a month or more before the visit.
  • 50% will be refunded if under a month but more than 10 days before the visit.
  • There will be no refund if 10 days or less before the visit.

The reason for this is that we need to book teachers for the delivery and preparation of the sessions and other groups may have been turned away because the session requested was already booked.

Bookings windows

AOB booking windows will come into effect as of July 2018 for visits from January 2019 onwards. This will allow priority for AOB groups for visits and alleviate the build-up of booking requests at our busier times.

1 July 2018 – 1 October 2018: Priority booking window for AOB group visits from January to July 2019.

22 January 2019 – 5 February 2019: Priority booking window for AOB group visits from September to December 2019.

Groups from outside our AOB can book any time after these date windows.

 

Evaluation

Following your visit, we will ask you to fill in an evaluation form.  The children may also be asked for feedback during their visit.  This information is very valuable to us as it helps us to improve our education and community services.

Complaints

The Box Moor Trust has a complaints procedure.  Complaints may be made at the Box Moor Trust Centre or using a form available at the Old Barn Education Centre.
